International Summer School for Teens is committed to protecting and respecting your privacy. This policy (together with our Terms and Conditions of Enrolment contract) and any other documents referred to on them sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

Information we may collect from you

You may give us information about you by filling in forms on our site or by corresponding with us by phone, e-mail or otherwise. This includes information you provide when you search for a service, make a booking, and enquire for information on our site, participate in discussion boards or other social media functions on our site, complete a course and when you report a problem with our site. The information you give us may include your name, address, e-mail address and phone number, financial and credit card information, personal description, medical and dietary information, and school.

Uses made of the information

We use information held about you in the following ways:

  • To carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us
  • To provide you with information about other goods and services we offer that are similar to those that you have already purchased or enquired about
  • To notify you about changes to our service;
  • To ensure that content from our site is presented in the most effective manner for you and for your computer.

How we handle your data

Employees

What data do we collect?

We collect the data we need to verify who you say you are, to confirm the qualifications you have on your CV are correct and collect all the information we require to register you for payroll, taxation and pension arrangements and to pay you your salary. We will also keep records of your contractual arrangements and any other employment documents that we are required to keep or need for us to comply with employment legislation

Do we share your data with anyone outside of ISSFT?

We outsource our payroll to a third party. They will have access to your name, National Insurance Number, your tax code and salary and pension arrangements. They need this to pay you and to make sure your tax and pension payments are made correctly. We also share your name and bank account details with our bank, so they can transfer money to your bank account.

What is the legal basis for keeping my data?

We keep your data to comply with employment legislation and to make sure that we can pay you

What would happen if I refused to give you this data?

In this case we would not be able to comply with employment legislation or pay you. This means we would not be able to employ you.

Who has access to my records?

Once you have been employed, only the Company Directors have full access to your records.

How long will my records be kept for once I leave ISSFT?

5 years

Consultants

What data do we collect?

We collect the data we need to verify who you say you are, to confirm the qualifications you have on your CV are correct and collect all the information we require to register you for payment. We will also keep records of your contractual arrangements and any other documents that we are required to keep, or we need for us to comply with taxation arrangements.

Do we share your data with anyone outside of ISSFT?    

No

We keep your data to comply with contractual needs, to ensure that we select you for appropriate duties and to make sure that we can pay you

What would happen if I refused to give you this data?

In this case we would not be able to use your services

Who has access to my records?

Only ISSFT Directors

How long will my records be kept for once I leave ISSFT?

1 year

Parents and Students

What data do we collect?

We collect information on parents and students.

Do we share your data with anyone outside of ISSFT?

Yes. The information you provide is used by a 3rd party to ensure accurate bedroom allocation. Data is also shared for airport pick up and drops offs. We never sell data to 3rd parties. We never share data other than student names.

What is the legal basis for keeping my data?

To provide the service that you have paid for accurately.

What would happen if I refused to give you this data?

In this case we would not be able to process your application and you would not be able to attend our summer programme.

Who has access to my records?

ISSFT staff and contractors approved to do so.

How long will my records be kept?

Any student and staff information will be destroyed 5 years after we obtained it.

Newsletter Distribution List

What data do we collect?

We collect your name, the name attending student and your email address.

Do we share your data with anyone outside of ISSFT?

No

What is the legal basis for keeping my data?

Informed consent. You will be asked to confirm your willingness to accept your inclusion on the Newsletter distribution and to receive further information on ISSFT

What would happen if I refused to give you this data?

We will not be able to send you the ISSFT Newsletter or provide you with information on ISSFT Programmes

Who has access to my records?

ISSFT staff involved in the distribution of the newsletter

How long will my records be kept for once I withdraw my consent?

You may withdraw your consent at any time. This will mean you will not receive any further newsletters.

Any information we hold on you will be removed from the ISSFT contacts database immediately

Enquiries List

What data do we collect?

We collect your name, email address and country details

Do we share your data with anyone outside of ISSFT?

No

What would happen if I refused to give you this data?

We will not be able to contact you to discuss your enquiry

Who has access to my records?

ISSFT staff who have the responsibility of following up on your enquiry

How long will my records be kept for once I withdraw my consent?

We will contact you three times to follow up on any accreditation enquiries you have made but will remove your details from our enquiries list after six months

Applications

What data do we collect?

We collect Parent’s or Guardian names, student’s names, contact details, age, gender, nationality, language, classes applied for, current school, school counsellor name, whether you have been to a summer school before, name of summer school you previously attended, permissions for certain activities, referral details.

Do we share your data with anyone outside of ISSFT?

No

What would happen if I refused to give you this data?

We will not be able to process your application and you would be rejected from proceeding with the summer school programme

Who has access to my records?

ISSFT staff who have the responsibility of processing your application.

How long will my records be kept for once I withdraw my consent?

You may withdraw your consent at any time if this does not affect any legal obligations we have to retain your data.  If the programme is running or prior or if a request is made prior to the attendance to the summer programme it will affect your eligibility to attend to the summer programme.

Medical Forms

What data do we collect?

We collect names, gender, dietary requirements, allergies, physical and mental health questions, permissions for certain activities.

Do we share your data with anyone outside of ISSFT?    

No

What would happen if I refused to give you this data?

We will not be able to process your application and you would be rejected from proceeding on to the summer school programme

Who has access to my records?

ISSFT staff who have the responsibility of processing your application.

How long will my records be kept for once I withdraw my consent?

You may withdraw your consent at any time if this does not affect any legal obligations we have to retain your data.  If the programme is running or if a request is made prior to the attendance to the summer programme, it will affect your eligibility to attend, and your application will be rejected.

Travel Forms

What data do we collect?

We collect names, travel details, flight information, permission to travel

Do we share your data with anyone outside of ISSFT?    

No

What would happen if I refused to give you this data?

We will not be able to process your application and you would be rejected from proceeding on to the summer school programme

Who has access to my records?

ISSFT staff who have the responsibility of processing your application.

How long will my records be kept for once I withdraw my consent?

You may withdraw your consent at any time if this does not affect any legal obligations we have to retain your data.  If the programme is running or if a request is made prior to the attendance to the summer programme it will affect your eligibility to attend and you may not be picked up or dropped off at the airport correctly, or staff may not be expecting you.

Disclosure of your information

Any information submitted to this site is used expressly for the use of International Summer School for Teens and the purposes for which you provide it.  International Summer School for Teens will not pass your information to any other parties unless this is made clear to you.

Changes to our privacy policy

Any changes we may make to our privacy policy in the future will be posted on this page and, where appropriate, notified to you by e-mail. Please check back frequently to see any updates or changes to our privacy policy.

Security of credit cards

No credit card information will be requested or obtained from you by International Summer School for Teens. 

Transaction security

International Summer School for Teens’s website uses Flywire protocol to ensure transaction security.
